A note from our studio: We are a small, family-focused children's studio, not a data company. Storybook Grove Studio is a children's creative enrichment studio located at 5810 Leeth Gap Rd., Boaz, AL 35956. We offer small-group classes, day camps, and special events for children ages 2–10. This Privacy Policy applies to all information collected through our website at storybookgrovestudio.club and through our registration and enrollment system.

2.1 Information You Provide at Registration

When you create an account and register your child, we collect:

  • Parent / Guardian: Full name, email address, phone number
  • Child: Legal first and last name, preferred nickname, gender, date of birth
  • Health & Safety: Known allergies, any relevant health or behavioral notes you choose to share
  • Emergency Contacts: Name, phone number, and relationship for up to two contacts per child
  • Consent Responses: Your answers to photo consent (memories and public use) and snack consent questions
  • Notes to Teacher: Any additional information you choose to share with our staff about your child

2.2 Information Collected During Registration & Payment

When you complete a registration and payment, we collect the class or camp session details, registration timestamp, any coupon codes used, and your payment confirmation. Payment processing is handled securely through GoDaddy Commerce — we do not store your credit card number, CVV, or full payment details on our servers.

2.3 Information You Provide Through the Contact Form

When you send us a message through our website contact form, we collect your name, email address, and the content of your message so that we can respond to you.

2.4 Information Collected Automatically

Like most websites, our site may collect basic technical information when you visit, such as your browser type, device type, and general location (city/region level). This information is used only for maintaining the security and performance of our website and is never tied to your personal identity or your child's information.

3. How We Use Your Information

We use the information you provide solely to:

  • Create and manage your family's account and enrollment records
  • Ensure your child's safety during sessions — including allergy awareness, emergency contact access, and health considerations
  • Communicate with you about your registrations, including confirmation emails, reminder emails, and RSVP requests
  • Send you studio newsletters or updates if you have opted in — you may unsubscribe at any time
  • Process payments and apply any coupon codes or discounts
  • Respond to messages you send us through the contact form
  • Maintain accurate records for studio operations, insurance, and licensing purposes
  • Honor your stated consent preferences regarding photography and snacks

We do not use your information for advertising, profiling, automated decision-making, or any purpose unrelated to your family's direct experience with our studio.

4. Photography & Your Child's Image

4.1 Memory Photos

With your explicit consent, photos or videos may be taken during sessions for the purpose of creating personal memory keepsakes shared privately with your family. This consent is collected at registration and applies only to the sessions for which you are enrolled.

4.2 Public Use

We will never use your child's image in any public-facing material — including our website, Facebook page, Instagram, printed flyers, or promotional content — without your separate, explicit consent. This consent is also collected at registration and is entirely independent of the memory photo consent.

4.3 Withdrawing Photo Consent

You may withdraw either form of photo consent at any time by contacting us in writing at [email protected] or by calling 256-399-6657. We will honor your request promptly and remove any publicly used images of your child upon request.

5. Who Has Access to Your Information

5.1 Studio Staff

Authorized studio staff have access to the information necessary to safely supervise and instruct your child — including their name, allergies, emergency contacts, consent responses, and any notes you have provided. Staff access is limited to what is needed for their role.

5.2 Studio Owner

The studio owner has access to all registration and account information for the purposes of studio operations, record-keeping, insurance, and licensing.

5.3 Third-Party Service Providers

We use a small number of trusted third-party services to operate our studio. These include:

  • GoDaddy Commerce — for secure payment processing
  • GoDaddy Airo — for website hosting and infrastructure
  • Email delivery service — for sending confirmation, reminder, and notification emails

These providers are given only the information necessary to perform their specific function and are not permitted to use your data for any other purpose.

5.4 We Do Not Sell Your Data

We do not sell, rent, trade, or share your personal information with any third party for marketing, advertising, or commercial purposes. Ever.

5.5 Legal Requirements

We may disclose information if required to do so by law, court order, or to protect the safety of a child or individual in an emergency situation.

6. How We Protect Your Information

We take the security of your family's information seriously. Our website uses industry-standard security practices including:

  • Encrypted HTTPS connections for all data transmitted through our website
  • Secure, authenticated access — your account is protected by a password that only you know
  • Admin-only access controls — sensitive registration data is only accessible to authorized studio staff
  • Secure database storage — your information is stored on protected servers, not in spreadsheets or unprotected files
  • Payment security — credit card and payment data is handled entirely by GoDaddy Commerce and never stored on our servers

While no system is 100% immune to security risks, we are committed to maintaining reasonable and appropriate safeguards for the size and nature of our studio.

7. Children's Privacy

Our website and registration system are designed for use by parents and legal guardians — not by children directly. We do not knowingly collect personal information directly from children under the age of 13. All account creation and registration must be completed by a parent or guardian who is at least 18 years of age.

The information we collect about children (name, date of birth, allergies, etc.) is provided by their parent or guardian and is used solely for the purpose of safely enrolling and caring for that child during studio sessions.

8. Your Rights & Choices

As a parent or guardian, you have the right to:

  • Access your information — request a copy of the personal information we hold about you and your child
  • Correct your information — update or correct any inaccurate information through your account or by contacting us
  • Delete your information — request that we delete your account and associated data, subject to any legal record-keeping obligations
  • Withdraw photo consent — at any time, for either memory or public use photos
  • Unsubscribe from newsletters — use the unsubscribe link in any newsletter email or contact us directly
  • Ask questions — contact us at any time with questions or concerns about how your information is handled

9. How Long We Keep Your Information

We retain your registration and account information for as long as your family is actively enrolled or has a history with our studio. This allows us to maintain accurate records for insurance, licensing, and continuity of care for returning families.

If you request deletion of your account, we will remove your personal information from our active systems. Some records may be retained in archived form where required by Alabama state law or for legitimate business purposes such as insurance documentation.

Child profiles that are removed from an account are archived (not permanently deleted) to maintain a historical record and allow for reactivation if your family returns. You may request permanent deletion of an archived child profile by contacting us directly.

10. Changes to This Policy

We may update this Privacy Policy from time to time as our studio grows or as legal requirements change. When we do, we will update the effective date at the top of this page and, for significant changes, notify enrolled families by email. We encourage you to review this page periodically. Continued use of our website or enrollment in our programs after any changes constitutes acceptance of the updated policy.
