Please read carefully before registering your child for any class, camp, or event.

A note from our studio: These terms exist not to create barriers, but to build a foundation of trust, safety, and mutual respect between our studio and every family we serve. We believe that when expectations are clear on both sides, children thrive and families feel confident. We welcome your questions at any time — please reach out before registering if anything is unclear.

1. About Storybook Grove Studio

Storybook Grove Studio is a children's creative enrichment studio located at 5810 Leeth Gap Rd., Boaz, AL 35956. We offer small-group classes, day camps, and special events for children ages 2–10, with programming focused on storytelling, visual arts, music, and imaginative play.

By registering a child for any class, camp, or event through our website or in person, the parent or legal guardian agrees to these Terms & Conditions in full. These terms apply to all sessions, regardless of whether payment was made online, in person, or via coupon/scholarship.

2. Registration & Enrollment

2.1 Who May Register

Registration must be completed by a parent or legal guardian who is at least 18 years of age. By completing registration, you confirm that you have legal authority to enroll the child and to agree to these terms on their behalf.

2.2 Age Eligibility

Each class and camp session is designed for a specific age group. The system validates age eligibility at the time of registration. Enrolling a child outside the designated age range is not permitted and may result in removal from the session without refund if discovered after enrollment.

2.3 Accurate Information & Your Responsibility to Update

You agree to provide accurate, complete, and current information for your child at the time of registration, including legal name, date of birth, age, grade level, allergies, emergency contacts, and any relevant medical or behavioral information that may affect your child's participation or safety. Providing false or incomplete information that results in harm to your child or others may result in immediate disenrollment.

It is the parent or guardian's ongoing responsibility to keep this information current. Children grow — ages change, grades advance, allergies develop, and emergency contacts shift. If any of your child's information changes after registration, please update it promptly by logging into your account and visiting My Classes → Edit Reservation for the relevant session. This includes, but is not limited to:

  • Age and current grade level
  • Known allergies or new dietary restrictions
  • Emergency contact names, phone numbers, or relationships
  • Any new medical, behavioral, or developmental information that may affect your child's experience
  • Notes for the teacher (special needs, sensory considerations, comfort items, etc.)

Keeping your child's information up to date helps our teachers prepare appropriately, ensures your child is placed in the correct age group, and protects your child's safety. Storybook Grove Studio cannot be held responsible for issues arising from outdated information that was not updated by the parent or guardian.

2.4 Spot Limits

All sessions have a maximum enrollment limit to maintain appropriate child-to-staff ratios and ensure quality programming. Registration is first-come, first-served. Once a session is full, a "Sold Out" status is displayed and no further registrations are accepted. When a session is full, a "Join Waitlist" button appears in place of the Register button. Families may add themselves to the waitlist and will be notified automatically by email if a spot becomes available. Waitlist spots are offered in order of sign-up. Families have 24 hours to claim an offered spot before it is passed to the next person on the list.

Understanding Your Child's Color Code

To help families quickly find the right class and help our teachers identify each child's group at a glance, every child is assigned a color code based on their age and grade. This color appears on class cards throughout the site, on your registration confirmation, and on your child's card in our class roster. Look for your child's color when browsing classes — it's your quick guide to which sessions are designed for them.

Important: Your child's color code is determined by the age and grade you enter at registration. As your child grows and advances in school, please update their age and grade in your account so their color assignment stays accurate and our teachers are always working from current information. 3. Payment & Cancellation Policy

3.1 Payment

Full payment is required at the time of registration. We accept payment through our secure online checkout system. Prices are listed per session and are subject to change; the price displayed at the time of your registration is the price you will be charged.

3.2 48-Hour Cancellation Window (Parent-Initiated)

If you need to cancel your child's registration, a full refund is available only if the cancellation is requested at least 48 hours before the scheduled session start time. To request a cancellation and refund, please contact us at 256-399-6657 or through the studio website.

3.3 No Refunds Within 48 Hours (Parent-Initiated)

Cancellations requested less than 48 hours before a session are not eligible for a cash refund. This policy exists because last-minute cancellations prevent other families from filling the spot and affect our ability to plan appropriately for each session.

We do, however, want to support every family as best we can. If you are outside the refund window, you are welcome to switch your registration to another available class with open spots — simply visit your My Classes page and use the “Switch Class” option on the registration in question. Available sessions with open spots will be listed for you to choose from.

We also deeply appreciate parents who notify us even when a refund is not available — doing so allows another child to attend in your child's place.

3.4 Studio-Initiated Cancellations & Credit Policy

In the event that Storybook Grove Studio must cancel a session due to weather, instructor illness, or other unforeseen circumstances, the following policy applies:

  • Automatic credit issued. Registered families will automatically receive a studio credit equal to the full amount paid for the cancelled session. This credit is applied directly to your account and will be visible under "My Classes" in your parent account.
  • Apply credit to any available class. Your credit can be applied toward any future class or session that has available space. Simply select the replacement class and apply your credit at checkout using the credit/coupon field.
  • Balance differences. If the replacement class costs more than your credit, you will pay only the difference. If it costs less, any remaining credit stays on your account and can be applied to a future session — it never expires.
  • Refund exception. If a studio-cancelled session falls within a 48-hour window and you prefer a refund rather than a credit, please contact us directly. Refund requests for studio-initiated cancellations are reviewed on a case-by-case basis and are honored at our discretion when operationally feasible.
  • Notification. We will notify affected families as promptly as possible via email and/or phone when a session is cancelled. The cancelled session will also be marked clearly on our Classes page.

3.5 Coupon Codes & Credits

Studio credits and coupon codes are non-transferable, apply only to the registered account holder, and have no cash value. Credits may not be combined with other promotional discounts unless explicitly stated. Misuse of coupon codes may result in cancellation of the associated registration. Any unused credit balance carries forward indefinitely and does not expire.

How Studio Credits Work

When a class is cancelled by the studio, your credit is automatically added to your account — no action needed on your part. Log in to your parent account, go to My Classes, and you'll see your available credit balance. When registering for a replacement class, enter your credit at checkout. Any leftover balance stays on your account for future use.

4. Drop-Off, Pick-Up & Child Supervision

4.1 Supervision During Sessions

Storybook Grove Studio staff supervise all enrolled children during scheduled session times. Our staff are trained in age-appropriate instruction and basic child safety practices. However, our studio is not a licensed childcare facility, and our supervision responsibilities begin at the scheduled session start time and end at the scheduled session end time.

4.2 Timely Pick-Up

Our classes are nearly back to back, so we kindly ask that you respect the quick transition time as we prepare for the next class or approach closing time. Please plan to collect your child promptly at the end of each session and be sure to keep your child or children with you at all times for their safety. 4.3 Authorized Pick-Up

Your child will only be released to the parent or guardian who registered them, or to an individual you have designated as an emergency contact. Please notify us in advance if someone other than the registered parent will be picking up your child.

4.4 Classroom Space & Waiting Area

All of our sessions are attended — we do not offer drop-off classes. However, due to the limited space inside our studio rooms, there may not always be enough room to comfortably accommodate every child, staff member, and accompanying adult at the same time. In those cases, we kindly ask that adults wait just outside the classroom, where seating is provided for your comfort. You are always nearby and welcome to peek in — we simply want to ensure the children have the space they need to move, create, and learn freely.

5. Health, Allergies & Illness

5.1 Allergy Disclosure

You are required to disclose all known allergies for your child at the time of registration. This information is visible to studio staff and is used to ensure your child's safety during sessions, particularly when snacks or craft materials are involved. Failure to disclose a known allergy releases Storybook Grove Studio from liability for any allergic reaction that occurs as a result.

5.2 Snack Consent

Some sessions may include a light snack. Your registration requires explicit Yes or No consent for your child to receive a snack. If you consent to snacks, you acknowledge that while we take reasonable precautions, we cannot guarantee a completely allergen-free environment. If you do not consent, your child will not be offered a snack during the session.

5.3 Illness Policy

Please do not bring a child to a session if they are experiencing any of the following within the previous 24 hours: fever of 100°F or higher, vomiting, diarrhea, pink eye, or any contagious illness. This protects all children and staff. If your child becomes ill during a session or is showing signs of a contagious condition, you will be contacted immediately and asked to remove your child from the class, session, or camp to ensure that other children are not exposed. We truly appreciate your understanding and cooperation in keeping our studio a healthy, safe space for every child and family.

5.4 Medication

Studio staff are not authorized to administer medication of any kind, including over-the-counter medications. If your child requires an epi-pen for an allergic reaction pertaining to known allergies, such as a reaction to a bee sting or for any other reason, the responsible adult who brought the child needs to have the medication on hand to treat the child as needed, and staff will call a first responder (911) to aide in the child's treatment to ensure their safety and well-being.

6. Photography & Media Consent

6.1 Memory Photos

With your consent, photos and videos may be taken during sessions for the purpose of creating memory keepsakes for your family — such as a photo shared privately with you after the session. This consent is collected at registration and applies only to the sessions for which you have enrolled.

6.2 Public Use

Separately, we ask for your consent to use photos or videos of your child in public-facing materials, including but not limited to: our studio website, Facebook page, Instagram, printed flyers, and promotional materials. We will never use your child's image publicly without your explicit consent. You may withdraw this consent at any time by contacting us in writing.

6.3 Other Families

Out of respect for all families, we ask that parents and guardians refrain from photographing or recording other children during sessions without the explicit consent of those children's parents.

7. Behavior & Studio Code of Conduct

7.1 Our Commitment to Your Child

Storybook Grove Studio is committed to providing a safe, nurturing, and inclusive environment for every child. Our staff use positive, age-appropriate guidance techniques. We do not use physical discipline, isolation, or shaming of any kind.

7.2 Expected Behavior

We ask that all children enrolled in our programs:

  • Treat other children, staff, and other adults responsible for attending children with kindness and respect
  • Follow the reasonable instructions of studio staff
  • Refrain from intentionally damaging studio materials or property
  • Refrain from physical aggression toward other children, staff, or other adults responsible for attending children

7.3 Behavioral Concerns

If a child's behavior poses a safety risk to themselves, other children, staff, or other adults responsible for attending children, a parent or guardian will be contacted and may be asked to redirect the child or remove them from class early. Repeated behavioral concerns may result in disenrollment from future sessions. In such cases, a prorated refund may be considered at the studio's discretion.

7.4 Parent & Guardian Conduct

We ask that all parents and guardians who visit the studio treat our staff and other families with courtesy and respect. Disrespectful, threatening, or abusive behavior toward staff or other families will not be tolerated and may result in immediate disenrollment of the associated child without refund.

8. Emergency Contacts & Medical Authorization

8.1 Required Emergency Contact

At least one emergency contact — including full name, phone number, and relationship to the child — is required for every registration. This contact must be reachable during the session and must be authorized to pick up the child if needed.

8.2 Emergency Medical Care

In the event of a medical emergency, Storybook Grove Studio staff will call 911 and attempt to reach the parent or guardian immediately, followed by the emergency contacts on file. By registering your child, you authorize studio staff to seek emergency medical care on your child's behalf if you cannot be reached and the situation requires immediate action. You agree to be responsible for any costs associated with emergency medical care.

9. Limitation of Liability

Storybook Grove Studio takes every reasonable precaution to ensure the safety and well-being of enrolled children. However, by registering your child, you acknowledge and agree that:

  • Participation in creative activities involves a degree of inherent risk, including minor injuries from art materials, movement activities, or normal childhood play.
  • Storybook Grove Studio, its owners, staff, and volunteers are not liable for injuries, illness, loss, or damage arising from participation in studio activities, except in cases of gross negligence or willful misconduct.
  • You are responsible for ensuring that your child is physically and emotionally ready to participate in the enrolled session and that you have disclosed all relevant health, allergy, and behavioral information.

Nothing in these terms limits any rights you may have under applicable Alabama state law.

10. Privacy & Data Use

Information collected during registration — including your child's name, date of birth, allergies, emergency contacts, and consent responses — is used solely for the purpose of operating our studio safely and communicating with your family about your enrollment.

We do not sell, rent, or share your personal information with third parties for marketing purposes. Your data is stored securely and is accessible only to authorized studio staff. For full details, please review our Privacy Policy.

11. Your Rights & Expectations as a Parent

We believe you have every right to expect the following from Storybook Grove Studio:

  • A safe environment. Your child will be supervised by caring, attentive staff in a clean, age-appropriate space.
  • Honest communication. If something happens during a session — an injury, a behavioral concern, or any incident — you will be informed promptly and honestly.
  • Respect for your child. Your child will be treated with dignity, patience, and encouragement at all times. No child will be singled out, embarrassed, or disciplined harshly.
  • Respect for your consent. Your photo consent, snack consent, and allergy information will be honored exactly as you provided it. We will never override your stated preferences.
  • Transparency about policies. These terms are available at any time on our website. If a policy changes, we will communicate that change to enrolled families.
  • A welcoming response to questions. You are always welcome to call, email, or message us with questions, concerns, or feedback. We want every family to feel heard.

In return, we ask that you:

  • Provide complete and accurate information about your child at registration
  • Update your child's information promptly as it changes — including age, grade, allergies, emergency contacts, and any notes for the teacher — via My Classes → Edit Reservation
  • Communicate any changes to your child's health, allergies, or emergency contacts promptly
  • Respect the 48-hour cancellation policy and notify us as early as possible if plans change
  • Pick up your child on time and ensure your emergency contacts are reachable during sessions
  • Treat our staff and other families with kindness and respect

12. Changes to These Terms & Conditions

Storybook Grove Studio reserves the right to update these Terms & Conditions at any time. When changes are made, the updated version will be posted on our website with a revised effective date. Continued enrollment in studio programs after the effective date of any changes constitutes acceptance of the updated terms. We encourage you to review this page periodically.

13. Event Locations, Special Events & Guest Speakers

13.1 Event Location & Address Disclosure

For the safety and privacy of our students and families, the specific location and address of any Storybook Grove Studio class, camp, or special event will be posted and communicated on a need-to-know basis. Each event listing on our calendar will be clearly labeled as either a Public Event or a Private Event as determined by the director. Location details for private events will be shared directly with registered families through the studio calendar, confirmation email, or newsletter — not posted publicly.

13.2 Special Events

From time to time, Storybook Grove Studio may host special events beyond our regular class and camp schedule. These may include themed enrichment days, seasonal celebrations, community gatherings, or other programming as determined by the director. Special events are listed on their own dedicated Special Events tab on the studio website — separate from the regular Classes, Sessions & Camps calendar. Each special event will be labeled as a Public or Private event accordingly, and will also be announced in the newsletter as appropriate. Registration or RSVP may be required for certain special events.

13.3 Guest Speakers & Special Presenters

Storybook Grove Studio may occasionally invite guest speakers or special presenters to enrich our programming. When a guest speaker is scheduled, the director will share the speaker's name and relevant background, experience, or credentials on the studio calendar and/or in the newsletter as deemed appropriate. The director reserves the right to determine the level of detail shared about any guest presenter. All guest speakers are vetted and approved by the director prior to any engagement with students.
